Booking policies

  • The contracting of products and/or services is carried out only in person or via e-mail, in both cases a payment must be made of the 50% (fifty percent) of the total value of the product(s) and/or service(s) contracted in the currency that Tolhuin Expeditions and Lodges deems convenient and at the conversion value (if necessary) of the currency (USD) on the day the payment is made, the rest of the payment will be made 50% (fifty percent) must be performed with at least 30 days in advance The document proving identity valid at the date of commencement of the activities must also be scanned or photographed at the date of performance of the services.

  • Payment of the reservation is an essential requirement of the contract of services with Tolhuin Expeditions and Lodges, this is done by electronic bank transfer. This payment will be in the currency that Tolhuin Expeditions and Lodges deems convenient for the customer, upon acceptance of the same. At the time of the transfer, the booking will be expressed, which will be formalized by email to be sent by the passenger, indicating the transfer details and respective documents that are requested.

  • In order to prevent unforeseen medical emergencies, and in consideration of international requirements; Tolhuin Expeditions and Lodges necessarily asks its passengers to take out travel insurance suitable for the needs of each client.

  • Tolhuin Expeditions and Lodges, in consideration of what is described in the previous clause, assumes that the passenger is in general good health, and is aware of physical demand and environmental conditions, such as; high solar radiation, extreme temperatures and height variations in our excursions, as well as the risks that each of the activities to be carried out entails.

    CANCELLATION OR CANCELLATION POLICIES

  • Deadlines are set in advance for the cancellation of the products and/or services contracted with the respective penalties and fines:

  • Cancellation penalty equal to or greater than 120 days prior to the start of the activities 100 euros or 150 usd.

  • Cancellation penalty between 120 and 90 days prior to the start of the activities 30% of the total price

  • Cancellation penalty between 90 and 60 days prior to the start of the activities 40% of the total price

  • There will be no refund for cancellations equal to or less than 60 days prior to the start of the activities.

  • It should be noted that Tolhuin Expeditions and Lodges reserves the right to purchase air transport tickets that may be non-modifiable or refundable (in order to obtain better fares), as well as travel insurance and consular arrangements. Therefore, if there are such expenses and that have already been consummated at the time of cancellation, consider them as non-refundable amounts and will be deducted from the subscription made, which if not enough the customer must pay the missing amount to Tolhuin Expeditions and Lodges.

  • Tolhuin Expeditions and Lodges reserves the right to cancel reservations in case the number of participants is insufficient,this will be communicated immediately, taking as a limit 21 days prior to the start of the activities. However, if there are solutions, they will be communicated for evaluation. And the refund of the payments made will be made within 15 business days from the cancellation notification.

    *Cancellations of reservations will only be made formally via e-mail and with confirmation of acknowledgement received.

  • Tolhuin Expeditions and Lodges reserves the right to modify activities, dates, times and apply additional charges in case of fortuitous external circumstances or force majeure and independent of the will of Tolhuin Expeditions and Lodges, such as; weather problems or natural events (snowfalls, thunderstorms, sandstorms, heavy rains, white wind, increases in volcanic activity, volcanic eruptions, fires, floods, earthquakes, etc.), political problems (coups, terrorism, protests, attacks, etc.), endemic/pandemic diseases or pests declared by competent national or international authorities, injury, serious discomfort or death of a passenger, provision to assist in a serious accident on the road, among others.

  • Tolhuin Expeditions and Lodges reserves the right to modify activities and schedules in case indigenous communities, CONAF (National Forestry Corporation) and/or local authorities, decide to close some tourist sites planned to visit. This is in view of the majority of excursions being carried out within sensitive areas of environmental protection, or in places of settlement and indigenous administration, protected by conservation regulations.

  • If any of these aforementioned unforeseen events occur, once the activities have started, no refund will be made.

  • Once the contracted program(s) and/or service(s) have been initiated, the suspension, modification or interruption of the services by the customer for personal or other reasons, will be considered the sole responsibility of the customer and, therefore, no refund will be made, and is subject to additional charges. in case any logistical or operational deployment is required to carry out any type of transport.

  • If any passenger jeopardizes the physical and psychological integrity of other passengers or workers, the company declares that; above all, it takes precedence in its interest, the protection of the client and/or workers in activities, and, therefore, the necessary measures will be taken to safeguard it. The company, faced with any situation of risk, rebellion or violence, may require the abandonment or cancellation of the excursion(s) and the right to do not make refunds. This is without prejudice to any complaints to the competent authority.

  • In the event that any passenger shows up under the influence of alcohol or psychotropic substances, the company reserves the right to cancel its program and not to re-schedule the products and/or services or change them. Being subject to logistical and human availability, in addition to having to assume all charges for change of rate and operating expenses that are necessary.

NON-SHOW POLICIES:

  • The assistance within the hours to the places of departure of the products and / or services contracted, is the sole responsibility of the customer. In case of absence of the client in the schedule and established place of the programs and / or services contracted, and provided that this delay cannot be justified by fortuitous case or force majeure, no refund will be made.

  • The cancellation or delay of external means of transport that are used to reach the places where the services of Tolhuin Expeditions and Lodge are started, may generate complete cancellation of the contracted program or additional charges for operational, administrative and logistical expenses that arise. In case of denial to assume the latter, it will be considered as total cancellation of the services, without the right to refunds.

    *All types of return are subject to charge for financial expenses associated with the bank transfer cost, credit card fee or any cost associated with the return.

    * All returns are made only by bank transfers, and will have a time of up to 15 days to be executed.
